Payment Policy
The total amount, which may include rent, taxes, cleaning fees, any additional charges for extra bedding or other fees, is due at check-in and is paid directly to Hawaiian Condo Resorts, Inc. Your reservation confirmation/invoice receipt will reflect the total amount due. The payment may be paid at or sent in advance to the management offices of Hawaiian Condo Resorts, Inc. at the Wailana Office Building located at 1860 Ala Moana Boulevard, Suite 416, Honolulu, Hawaii 96815.
We accept Cash, Traveler's Checks, Cashier Checks, Money Orders and all major credit cards. We do not accept any local or out of state checks.
Deposits
All vacation rentals require a Security Deposit. Please note that the security deposit can not be applied to the total due.
The deposit will be retained until:
Check out has been completed (and keys and parking passes have been returned) and,
The unit has been cleaned by our professionals.
Security deposits may be available for refund as early as the day following check out but no later than 14 days after your check out date. Please see the Deposit Refund section for more information.
Cleaning Fees
Cleaning fees will vary according to the size of the unit and the length of the reservation. Any cleaning fee will be included in the total amount due for the vacation rental. All cleaning fees are subject to 4.712% Hawaii tax.
Cleaning fees for Waikiki rental units:
Economy Studio Units $75.00 + tax
Premium Studio Units $100.00 + tax
Economy One Bedroom Units $100 + tax
Premium One Bedroom Units $125.00 + tax
Economy Two Bedroom Units $125.00 + tax
Premium Two Bedroom Units $165.00 + tax
Additional cleaning charges may apply if more than a standard cleaning of the unit is needed
Reservation Revisions
All reservations made by telephone or in person and secured by deposit are deemed to be acceptable by the party(s) making the reservation. If you want to change your reservations, please call us at (808) 949-4505 or toll free at (800)487-4505. Any reservation revision fee may vary based on the length of your stay, the nature of the revision, the season, and the length of time between the revision and the scheduled check-in date.
Cancellation Policy
All cancellations will incur a minimum of at least $100 administrative fee. Cancellations with less than 30 days notice prior to check-in are subject, but not restricted, to the following penalties:
100% of the deposit (or the full amount of payments collected).
Please note that the penalties for cancellations during the Winter season (December 1st through April 1st) can vary depending on the length of the reservation and the length of time between the cancellation and the scheduled check-in date. The standard cancellation policy for the Winter season is as follows:
-90 days or more - 50% of the deposit
-90 days or less - 100% of the deposit (or up to the full amount of payments collected).
A "no-show" will automatically incur a forfeiture of all deposits and/or rents received by Hawaiian Condo Resorts, Inc.
All reservations made by phone and in person, secured by deposit without inspecting the unit, are deemed to be acceptable by the party(s) making the reservation.
Deposit Refund
Upon satisfactory inspection of the unit(s) rented and return of all issued keys and parking passes, deposits will be available for refund, as early as the day following check-out but no later than 14 days after the check out date. Deposits made by credit card will be credited to the account number received at the time of the reservation. Deposits made by cash, traveler's checks, cashier checks, or money orders will be refunded via a check mailed to the address on file.
Security deposits can not be applied to any balance due.
Check In Procedures
Standard check in time is 3:00pm. Exceptions are made for those who have paid for an early Check-In. Please call us at (808) 949-4505 or toll free at (800) 487-4505 to arrange an early check-in time. The total amount (rent, taxes, cleaning fees & any other applicable charges) is due at check-in. All keys are issued on the day of Check-In which is conducted at our office in Waikiki located at:

Late arrivals can be accommodated after normal office hours on both weekdays and weekends. There will be a $30 - $40 Late Check-In Fee for late arrivals before 12:00 midnight and $40 for arrivals after 12:00 midnight.
For Oahu Check-Ins:
Upon your arrival at Honolulu International Airport, please call us at 808 949-4505 (during regular office hours) or 808 383-4039 (after office hours only) for check-in instructions.
Check Out Procedures
For Oahu Check-Outs:
Check out time for all rental units is 12:00pm. Exceptions are made for those who have paid for a Late Check-Out. The day prior to check-out, please call our office with your planned departure time from the unit. On the day of Check-Out, please leave all keys and any parking or other passes issued to you in the unit and lock the door behind you when you leave.
Banyan Harbor Policy and Instructions
Please see the General Policy sections on Deposits, Reservation Revisions, Deposit Refunds, and Responsibility. In addition, please review the following Banyan Harbor policy.
Rates/Occupancy
All 1 and 2 bedroom condominiums require a 2 night minimum stay. There is no charge for children 12 and under. Rates are based on double occupancy. Additional occupants are $5 per person, per night.
Payment Procedures
All bookings must be pre-paid. Payments or deposits must be made in United States funds.
Check-In/Check Out
Check-In time is 3:00 pm. While every effort will be made to accomodate guests arriving before the check-in time, rooms may not be available.
Check-Out time is 12:00 pm. Requests to retain rooms beyond regular checkout time should be directed to the Front Office on the morning of departure. A late departure fee may apply.
Cancellations
Cancellations made less than 3 days prior to arrival and/or "no-shows" are subject to a charge equivalent to 1 night room revenue and taxes.

Kuilima Estates and Turtle Bay Villas Policy and Instructions

Payment Policy
Pre-payment will be facilitated 30 days prior to check-in.
Cleaning Fees
Cleaning fees for Turtle Bay Kuilima Estates range from $75.00 to $100.00 per unit.
Cancellations
There is a minimum fee of $50 on all reservations cancelled within 30 or more days from the date of check-in. Any cancellation less than 30 days from check-in may forfeit at least the full security deposit and up to all amounts paid. A "no-show" will automatically incur a forfeiture of the entire security deposit and rents paid.
Check In Procedures
There will be an on-site representative who will assist you with your check-in. Please call 293-2987 or 226-2571 upon your arrival. At that time you will be given your unit assignment and instructions on how to obtain your keys. Please be advised that the Turtle Bay Golf Resort does not manage or operate the condos at Kuilima Estates. If you encounter any problems with your unit, call us at 949-4505.
Check Out Procedures
Check out time for rental units at Turtle Bay Kuilima Estates is 10:00am.

Responsibility
Hawaiian Condo Resorts, Inc's office operates during standard business hours and does not have staff on-call 24 hours per day and will not be responsible for reimbursement to customers for lock outs and plumbing problems that occur after office hours and were caused by customer error.
Hawaiian Condo Resorts, Inc. is not liable for any injury, damage, irregularity, or delay. Hawaiian Condo Resorts, Inc. reserves the right to make any changes or alterations as deemed necessary. Acts of God, strikes, and other conditions are beyond Hawaiian Condo Resorts, Inc.'s control and will not be held liable in such events, and reserves the right in the event of an overbooking situation, to secure alternate accommodations.
